2. Website visits and technical data
When you visit this website, your browser sends information that is processed to provide the site and address technical issues or abuse. This includes your IP address, the time of the request, the page requested, and browser and operating-system details.
Web analytics (Umami)
We use Umami analytics software, which we run on our own infrastructure. Umami does not set cookies or store data on your device. Visits are anonymized and evaluated in aggregated form so they cannot be linked to individual people. We do not pass data to third parties. Plays of embedded videos are also counted only as anonymous events, without a personal reference. We rely on our legitimate interest in statistical analysis of website use (Article 6(1)(f) GDPR). Since Umami does not access or store information on your device or set cookies, consent under Section 25 of the German TDDDG is not required for this analytics service.
Google Fonts
Fonts used on this website are stored locally. Your browser does not connect to Google's font servers to load them.
YouTube videos
We use a two-click solution. When a page loads, only a preview image stored on our servers is shown. No connection to Google is made and no data is transferred to Google. YouTube content is loaded in privacy-enhanced mode (youtube-nocookie.com) only when you click a video. From then on, Google receives information such as your IP address and browser details. Data may also be transferred to Google LLC servers in the USA. The legal basis is your consent given by clicking the video (Article 6(1)(a) GDPR and Section 25(1) of the German TDDDG). Your consent applies only to that playback; we do not store anything in your browser for this. For more information, see Google's privacy policy.
Features such as language selection, sign-in and booking progress may use cookies or your browser's local storage. The booking wizard stores your selections and the billing details you enter so you can continue a booking. Your language choice and whether the newsletter prompt was dismissed are also stored locally.
3. Enquiries, bookings and uploads
Contact and sponsorship enquiries
If you contact us, we process the details in the form you used. These may include your name, email address, company, message or sponsorship interests. We use them to respond to and route your enquiry. Information about the request source and browser may also be processed to protect the service against misuse.
Bookings and the Host area
For a booking, we process contact and company details, billing address, phone number and VAT ID where provided, along with your product selection, prices, language, payment method, and booking, payment and invoice status. We save booking progress so you can continue a booking you started. This includes details entered in the billing form.
To process a booking, the information needed for that transaction may be sent to service providers for payment, invoicing, email delivery and ticket registration.
Logos and brand materials
If you upload a logo or other brand material for a booking, we process the file, its filename and booking reference to review and use it for the booked appearance. A file may itself contain personal information.
4. Newsletter, testimonials and booklet
Newsletter
For the newsletter, we process your email address, optional name, selected language, and subscription and unsubscribe status. We use these details to send the updates you requested and manage your subscription. Your email address is shared with the services used to deliver newsletters and email. You can unsubscribe at any time using the link in a newsletter email.
Customer testimonials
If you submit a testimonial, we process your name, display name, email address, text and any additional information you provide. You may choose to appear anonymously. We review testimonials and publish them only with your separate publication consent.
Sponsorship booklet
When you request the sponsorship booklet, we process your name, company, email address, language and stated interest to review the request and, where appropriate, provide access. Access uses a personal link. If the booklet is opened through an external presentation or file service, that service processes the connection data needed to provide it.
5. Giveaways and private guest requests
Giveaways
If you apply through a personal giveaway link, we process your name, email address, optional Instagram or LinkedIn username, language and application details. We review the application and manage any acceptance and ticket delivery. We also check whether the giveaway already has an application with the same email address.
Private guest requests
For a private guest request, we process your first and last name, email address, optional short message, language and email-verification status. After you verify your email, the relevant Host or OMClub team can review the request. If it is accepted, we can assign and email a ticket registration link. Confirming your email is not an invitation or a ticket.
6. Recipients and external services
Within PIRATEx GmbH, access is limited to people who need the information for their work. Depending on the process, information may also be shared with service providers for hosting and storage, email and newsletter delivery, payment processing, invoicing, analytics or ticket registration. When you click a YouTube video, your browser connects to Google's YouTube service. Data may be transferred to Google LLC in the USA.
7. Your rights
You may request access to your personal data, its correction or deletion, or restriction of processing. Where the requirements are met, you may also request data portability or object to processing. You may withdraw consent at any time for future processing. To make a request, contact info@omclub.de. Please describe your request and the process it concerns so we can locate it.
You also have the right to complain to a data protection supervisory authority. The authority responsible for PIRATEx GmbH is the State Commissioner for Data Protection and Freedom of Information North Rhine-Westphalia (LDI NRW). See the LDI NRW complaints page for information and contact details.
